Agenda Item #37
Backup HVAC Unit for ESF Computer Server Room and AS400
Currently, the District's main frame computer system (AS400) and the main computer server room at the ESF are cooled by individual air handling units. Neither space has a backup system, which is critical to preventing equipment failure due to overheating of the space, as has occurred several times in the past.
TLC has provided a design for a new integrated back-up system for both spaces under their Continuing Contract for MEP and Fire Protection Services (RFQ-14-Q-008-KR). Bids were requested from the District's approved HVAC Contractors list for procurement and installation of this new system.
Bids were received on Monday, October 26, 2015. Air Mechanical & Service Corp. was the successful bidder with a price of $140,000. At the time bids were due, Siemens, who is the sole supplier of the ESF's existing building automation system (BAS), was unable to provide their quote, therefore, their cost is not reflected in Air Mechanical's bid price. Siemens has since provided their proposal in the amount of $23,515 for the BAS portion of the backup system installation.
Siemens' work will be assigned to Air Mechanical & Service Corp and their cost will be added to the purchase order to Air Mechanical.
Administrative, permitting and inspection costs are estimated to be $3,000.
TLC's design fee of $12,800 was authorized under a separate purchase order.
Approve a total project cost of $179,315 for the design, installation, permitting, inspection and administration of a backup HVAC system for the District's main frame computer system (AS400) and the main computer server room in Pod 9 at the ESF.
Approve the bid submitted by Air Mechanical & Service Corp. in the amount of $140,000 to supply and install the backup HVAC system.
Approve the bid submitted by Siemens in the amount of $23,515 to supply and install the building automation system for the backup HVAC system.
